How We Collect, Use and Protect Your Information

Effective date: October 7, 2026
Last updated: October 2026

This policy explains what personal information East Africa Safaris collects when you visit eastafricasafaris.com, contact us or travel with us. It covers how we use that information, who we share it with, and the choices you have.

The short version: we collect what we need to answer your questions and to plan and run your safari, and we share it with the people who make your trip happen, such as park authorities, lodges, drivers and guides. We do not sell your personal information. We advertise on Google and on Meta's Facebook and Instagram, and we may use their advertising tools to show our ads to people who have visited our website. You can opt out at any time (see "Cookies, analytics and advertising").

Who we are

East Africa Safaris is the trading name of East Africa Safari Tours, Inc., a Utah corporation, licensed in Rwanda by the Rwanda Development Board (license RDB/TL/2026/02/TO/00995). In this policy, "East Africa Safaris," "we," "us" and "our" mean East Africa Safari Tours, Inc.

We decide how and why your personal information is used, so we are responsible for it. In European data protection terms, we are the "controller."

The information we collect

Information you give us

  • Inquiries. Our website forms ask for your name, email address and message. Depending on the form, they may also ask for your phone number, how you prefer to be contacted, how many people are traveling, when you would like to travel and which country you want to visit. When you email, call or message us on WhatsApp, we keep those conversations too.
  • Booking and traveler details. To book a trip, we need the name of each traveler and the lead traveler's contact details. Park authorities require passport details to issue gorilla, chimpanzee and other permits, such as passport number, nationality, date of birth and expiry date. We also collect your travel dates, itinerary choices, and arrival and departure details so we can meet you and plan your transfers.
  • Special requirements. You may tell us about dietary needs, allergies, medical conditions, mobility needs or other health information so that we can look after you. This is your choice. Please share only what is relevant to your trip and what you are comfortable sharing.
  • Emergency contact. If you give us an emergency contact, we keep their name and phone number.
  • Payment information. We keep records of what you paid, when, in which currency and by which method. Our website does not take payments or ask for card details. Card payments and bank transfers are handled by our payment processors and banks.
  • Newsletter. If you subscribe to our newsletter, we collect your email address and any name you give us.

If you book for a group or family, you will give us information about the other travelers. Please make sure they are happy for you to do so, and point them to this policy.

Information collected automatically

  • Usage and device information. When you browse our site, Google Analytics records things like the pages you view, how long you stay, how you found us (for example, through a search engine or an ad), your approximate location (city and country, worked out from your IP address), your device type, browser and screen size. It also records some actions, such as opening an FAQ answer or sending a form. It records that a form was sent, not what you wrote in it.
  • Advertising information. Google's and Meta's advertising tools use cookies and similar identifiers to recognize your browser, add it to lists of people who have visited our website, and tell us whether people who saw or clicked our ads later visited our site or sent an inquiry.
  • Cookies. Small files stored by your browser. See "Cookies, analytics and advertising" below.
  • Technical and security logs. Our hosting and security providers process your IP address, browser details and the pages you request, so they can deliver the site and protect it from spam, bots and attacks. Our form software may also record your IP address, browser and the page you sent a form from.

Information from other sources

  • Travel partners and authorities, such as permit and lodge booking confirmations, and notes from your guide or driver if you need help during your trip.
  • Review platforms. If you review us on Tripadvisor or another review site, such as Google or SafariBookings, we may copy your review onto our website, with your public display name, rating and the date.
  • Messaging and social media. If you contact us through WhatsApp, Facebook or Instagram, or respond to one of our ads there, we receive the name, phone number or profile details that those services share with us.

How we use your information

We use your information to:

  • Answer your inquiries and send you the trip ideas, itineraries and quotes you ask for.
  • Plan and run your trip: book permits, accommodation, drivers, guides, transfers and activities, and keep you informed before and during your safari. Park authorities need passport details to issue permits in each traveler's name.
  • Take and record payments, send invoices and receipts, and handle refunds.
  • Look after you: meet the dietary and medical needs you tell us about, and get you help in an emergency.
  • Provide customer service before, during and after your trip, including changes and complaints.
  • Meet our legal obligations, such as tax, accounting, tourism licensing and permit rules, and respond to lawful requests from authorities.
  • Keep our website working and secure, and prevent spam and fraud.
  • Improve our website and services, using analytics to see which pages and trips people are interested in.
  • Advertise our trips: show our ads to people who have visited our website, and measure whether our ads lead to inquiries.
  • Send occasional marketing emails, only if you subscribe. Every marketing email includes an unsubscribe link. We will still send you messages about a trip you have booked.

We use health information only to look after you on your trip and to help you in an emergency.

Who we share it with

We share your information only with those who need it to deliver your trip or run our business, and only the parts they need:

  • Park and permit authorities, such as the Rwanda Development Board (RDB), the Uganda Wildlife Authority (UWA) and the park and permit authorities in Kenya, Tanzania and DR Congo.
  • Accommodation and transport providers: lodges, hotels, camps, drivers, and airlines or air charter operators if your trip includes flights.
  • Guides and activity providers, including trekking guides and hosts of community and cultural experiences.
  • Payment processors and banks that handle card payments and bank transfers.
  • IT and hosting providers that run our website, email and other systems, including our website developer, our hosting and security providers, and our email provider.
  • Analytics and advertising providers: Google, through Google Analytics and Google Ads; Meta Platforms, through Facebook and Instagram advertising; and the advertising agency that manages our Google and Meta ads.
  • Emergency service providers: doctors, clinics, hospitals and medical evacuation providers. In Rwanda, we have an emergency medical evacuation arrangement with Akagera Aviation, so in an emergency we may share your details and relevant health information with them. With your permission, or when it is urgent, we may also contact your emergency contact or your travel insurer.
  • Legal and regulatory authorities, such as immigration, border, tourism, tax and law enforcement authorities and courts, and our professional advisers, where the law requires it or where it is needed to protect our rights or anyone's safety.
  • A buyer or successor, if our business is ever sold, merged or reorganized, on terms that protect your information.

Park authorities, lodges, airlines and similar partners use your details under their own privacy policies and the laws of their countries.

Selling, sharing and advertising

We do not sell your personal information. We do not rent or trade our contact lists, and we do not give your details to other companies for their own marketing.

We use Google Analytics, and we advertise through Google Ads and through Meta on Facebook and Instagram. These advertising tools can use cookies and similar technologies for remarketing and conversion measurement: to show our ads to people who have visited our website, on Google, Facebook, Instagram and other websites and apps, and to measure whether our ads lead to inquiries. Under some US state laws, this can count as "sharing" personal information for cross-context behavioral advertising, or as "targeted advertising." You can opt out at any time. See "Cookies, analytics and advertising" below.

We never use your passport or health details, or what you write in our forms, for advertising.

International transfers

We are based in the United States and Rwanda, and our trips take place in Rwanda, Uganda, Kenya, Tanzania and DR Congo. To plan and run your trip, your information moves between the United States, Rwanda and the countries you travel to. Some of our service providers, such as Google, may store information in the United States or other countries.

Data protection laws in these countries may differ from the laws where you live. If you are in the UK or the EEA, we transfer your information outside those areas because it is necessary to arrange and deliver the trip you asked for. For our service providers, we rely on the safeguards they offer, such as standard contractual clauses, where the law requires them.

How long we keep it

We keep personal information only as long as we need it:

  • Inquiries that do not become bookings: up to 24 months after our last contact with you.
  • Booking records, including invoices, payments and booking correspondence: as long as we need them for legal, tax and accounting purposes and to deal with any claims.
  • Passport and health details: only as long as we need them for your trip and any follow-up, such as a permit change, refund or insurance claim, unless the law requires us to keep them longer.
  • Newsletter subscriptions: until you unsubscribe.
  • Google Analytics data: 14 months.
  • Advertising cookies and audience lists: for the periods set in Google's and Meta's tools and under their own policies.

When we no longer need information, we delete it or make it anonymous.

How we protect it

We use reasonable technical and organizational measures to protect your personal information. For example, our website uses an encrypted (HTTPS) connection. No website, email or messaging service is completely secure, so we cannot guarantee security.

Please do not send full card numbers through our website forms, by email or on WhatsApp. If you think your information with us has been put at risk, contact us straight away.

Your choices and rights

Wherever you live, you can ask us to:

  • Access the personal information we hold about you.
  • Correct information that is wrong or incomplete.
  • Delete your information.
  • Opt out of targeted advertising and "sharing," as described in "Cookies, analytics and advertising."
  • Stop sending you marketing emails, by using the unsubscribe link or emailing us.

To make a request, email info@eastafricasafaris.com. We may need to confirm your identity before we act. We may have to keep some information, for example for an upcoming trip or for tax records, and we will tell you if so.

We will respond within the time the law requires: within one month for requests from the UK and EEA, and within 45 days for requests under US state laws.

If you are in the UK or the EEA

Under the UK and EU General Data Protection Regulation (GDPR), we need a legal basis to use your information. Ours are:

  • Contract: to plan, book and deliver your trip, and to take steps you ask for before you book, such as preparing a quote.
  • Legitimate interests: to answer inquiries, run and improve our business and website, keep them secure, and defend legal claims. We weigh these interests against your rights.
  • Consent: for marketing emails, for health information you choose to share, and for analytics and advertising cookies where the law requires consent. You can withdraw your consent at any time.
  • Legal obligation: for tax, accounting, licensing and permit rules.
  • Vital interests: to protect your life or health in an emergency, for example by sharing medical details with an evacuation provider.

You also have the right to restrict or object to our use of your information, including for advertising, and to receive a copy of the information you gave us in a portable format.

If you are unhappy with how we handle your information, please contact us first. You also have the right to complain to a data protection supervisory authority. In the UK, that is the Information Commissioner's Office (ico.org.uk(opens in a new tab)). In the EEA, it is the authority in the country where you live or work, or where you think the problem happened.

If you live in California or another US state with a privacy law

Some state privacy laws, such as the California Consumer Privacy Act, apply only to businesses above certain size thresholds. Whether or not a particular law applies to us, we offer the rights described here to everyone:

  • Know what personal information we collect, use and disclose, and get a copy of it.
  • Delete personal information we collected from you.
  • Correct personal information that is inaccurate.
  • Opt out of targeted advertising and of the "sharing" of your personal information for cross-context behavioral advertising.

We do not sell your personal information. We use sensitive information, such as passport and health details, only to provide the trip you asked for.

In the last 12 months, we collected the kinds of information described in "The information we collect." We disclosed it for the purposes and to the recipients described in "Who we share it with." For advertising, we shared identifiers (such as cookie IDs and IP addresses) and internet activity (such as the pages you viewed on our site) with Google, and we may share the same kinds of information with Meta if we use its advertising tools on our website.

We will not treat you differently for using your privacy rights. You can make a request yourself, or through an authorized agent, by emailing info@eastafricasafaris.com. If we decline your request, you can ask us to reconsider by replying to our decision.

Cookies, analytics and advertising

Cookies are small files that a website stores in your browser. These are the cookies our website uses, grouped by purpose:

  • Security: __cf_bm. Set by Cloudflare, our security provider, to tell real visitors from bots. Lasts: 30 minutes.
  • Site features: breadcrumbs_ (numbered), tt2_cookies_accepted. Set by our website, to help you navigate and to remember that you closed the cookie notice. Lasts: 10 minutes, and until you close your browser.
  • Analytics: _ga, _ga_GCMCSVZP7W. Set by Google Analytics, to count visitors and see how the site is used. Lasts: up to 2 years.
  • Advertising: Google's advertising cookies, stored on Google's own domains (such as doubleclick.net), and conversion cookies such as _gcl_au if we add Google's advertising tag to our site; Meta's _fbp cookie if we add Meta's pixel to our site. Set by Google and Meta, to show our ads to past visitors and to measure whether our ads lead to inquiries. Lasts: set by Google and Meta; _gcl_au and _fbp last up to 90 days.

Pages with embedded YouTube videos, and our WhatsApp chat button, load content from other companies, which may set their own cookies. See "Third-party links and widgets."

Google Analytics and Google Ads. Google processes analytics and advertising information for us. We have not turned on Google Signals, the feature that links website visits to people's Google accounts. Google explains how it uses information from websites that use its services at policies.google.com/technologies/partner-sites(opens in a new tab).

Meta (Facebook and Instagram). We advertise on Facebook and Instagram. If we add Meta's pixel to our website, Meta will receive information about your visit to show our ads to past visitors and measure their results, under Meta's own privacy policy (facebook.com/privacy/policy(opens in a new tab)).

How to opt out and control cookies:

  • Our cookie notice. Where our cookie notice offers a choice, you can use it to control cookies.
  • Browser settings. You can block or delete cookies, including third-party cookies, in your browser settings, for all sites or just ours. Our website will still work, although some features may not.
  • Google's ad settings. You can turn off personalized ads from Google in My Ad Center (myadcenter.google.com(opens in a new tab), formerly adssettings.google.com).
  • Meta's ad settings. You can control the ads you see on Facebook and Instagram, including ads based on your activity on other websites, in Meta's Ad Preferences, in your Facebook or Instagram settings.
  • Google Analytics opt-out. You can stop Google Analytics from collecting information about your visits by installing Google's opt-out browser add-on at tools.google.com/dlpage/gaoptout(opens in a new tab).
  • Email us. To opt out of targeted advertising or "sharing," email info@eastafricasafaris.com. We will honor opt-out requests sent by email. Because advertising cookies are tied to your browser rather than your name, we will also tell you how to switch them off on your devices.

Global Privacy Control and Do Not Track. Our website cannot yet detect Global Privacy Control (GPC) or Do Not Track signals automatically. We will honor GPC signals where we are able to, and we will always honor opt-out requests sent by email.

Children

Our website is meant for adults planning travel. It is not directed to children under 13 (or under 16 in the EEA), and we do not knowingly collect personal information from them online or use it for advertising. Children who travel with us do so with a parent or guardian, who gives us the details we need, such as names, ages and passport details for permits. If you believe a child has sent us personal information, contact us and we will delete it.

Third-party links and widgets

Our website links to, or includes content from, other services. They have their own privacy policies, and we do not control how they use information.

  • WhatsApp. Our chat button is provided through a service called GetButton and opens WhatsApp, which is run by Meta. The button loads from GetButton's servers. When you message us on WhatsApp, WhatsApp's privacy policy applies.
  • Instagram, Facebook, Tripadvisor and YouTube. We link to our pages on these sites. Their own policies apply there.
  • YouTube videos. Some pages include embedded YouTube videos. When one of these videos loads on the page, YouTube (Google) may set cookies and collect information about your device, even if you do not press play.
  • Fonts and video. Our website loads a font from Google's servers and our homepage video from Amazon Web Services, so those companies receive your IP address when you visit.

Changes to this policy

We may update this policy when our services, tools or the law change. We will post the new version here and update the "Last updated" date. If a change is significant, we will make that clear on our website or tell you directly.
